Privacy policy
What personal information we collect through our applications and payment forms, why we collect it, who we share it with, how long we keep it, and how to ask for a copy or deletion.

This policy explains how Mesquite Oasis Lodge & RV Park, 7601 W 42nd St, Odessa, TX 79764, handles personal information collected through this website, through our application and payment forms at forms.mesquiteoasis.net, and in the course of renting you an RV site or lodge room. We are the data controller for that information.
1. What we collect
When you submit an application
- Name, date of birth, phone number, email address and mailing address
- A photograph of your government-issued photo ID
- Your on-screen signature
- Employer name and contact details, and employment dates where relevant
- Vehicle and RV details, including licence plate
- Names of other occupants and, for lodge rooms, occupancy count
- Pet details including vaccination status
- Emergency contact details
When you pay
- Card or bank account details you enter on the payment authorization form
- Billing name and address
- Amount authorized and the date of authorization
Payment card details are transmitted for processing to Rent Manager ePay. We do not retain your full card number on our own systems.
Automatically, when you browse
- Standard server log information: IP address, browser type, pages requested, date and time
- We do not use advertising cookies or third-party tracking pixels on this site
On the property
- Security camera footage. The property is monitored and recorded at all times for the safety of residents and staff.
- Gate and amenity PIN access records
2. Why we collect it
- To verify identity — we need to know who is living on the property.
- To create your reservation or rental agreement and issue your invoice.
- To take payment for the amount you authorize.
- To contact you about your stay, your gate code, maintenance and emergencies.
- To meet legal and tax obligations, including Texas hotel occupancy tax reporting and permanent-resident exemption records.
- To keep the property safe and enforce our park rules.
3. Who we share it with
We do not sell your personal information, and we do not share it for anyone else's advertising. We share it only with:
- Rent Manager (London Computer Systems) — our property-management software and, through Rent Manager ePay, our payment processing.
- Supabase — the database service that stores our form submissions.
- Our email provider — used to deliver form submissions and invoices to our office.
- An employer or agency — only where that company is paying for your room and only for billing purposes.
- Law enforcement or a court — where we are legally required to.
4. How long we keep it
- Applications, rental agreements and payment records for guests who stayed with us: retained for four years after the stay ends, which is the period we keep records to satisfy Texas tax and business record-keeping requirements. They are deleted after that.
- Applications we decline, or that are withdrawn or never completed: retained for 90 days and then deleted, including any uploaded identification.
- Security camera footage: retained for 60 days, then automatically overwritten by the recording system.
- Server logs: routinely rotated and deleted.
5. How we protect it
Our forms are served over HTTPS. Submissions are stored in an access-controlled database. Payment details are transmitted to our processor rather than kept on our own systems. Access to resident records is limited to park management and office staff who need it.
6. Your choices and rights
You can ask us to:
- send you a copy of the personal information we hold about you;
- correct anything that is wrong;
- delete information we no longer need to keep for legal or tax reasons;
- stop sending you non-essential messages.
Email info@mesquiteoasis.net with the subject line “Privacy request” or write to us at 7601 W 42nd St, Odessa, TX 79764. We respond within 30 days. We may ask you to verify your identity first so we do not release your information to someone else.
7. Children
Our applications are for adults aged 18 or over. We collect the names of minors who will be staying on the property as occupants, and nothing more. We do not knowingly collect personal information from children through this website.
8. Changes to this policy
If we change this policy we update the date at the top of this page. Material changes affecting how we use information you have already given us will be emailed to current residents.
